HelloTT privacy notice for parents and guardians
Who we are. Sporty Life Dynamics LLC, commercial registration 1514756, No. 28, LG Floor, Panorama Mall, Muscat, Oman, runs HelloTT Table Tennis Club and its membership system. You can contact us about your data at hellottclubs@gmail.com or by phone on +968 7714 0506 or +968 7757 0080.
What we collect. We collect your name, email address and phone number. For each player you add, we collect the player's name, level and, if you give it, date of birth. We also keep your packages, orders, invoices, payments, receipts, bookings and attendance.
Google sign-in. You sign in with your Google account. Google tells us your account ID and your verified email. We do not receive your Google password, name or photo.
Why we use it. We use your data to register players, link them to you, sell packages, record payments, issue receipts, book sessions, record attendance and contact you about these.
Who sees it. Club administrators see member, family and payment records. Coaches see only the sessions they run and the player details needed for them. Coaches do not see prices, payments or your contact details. You see only the players linked to you.
Service providers. We use Google for sign-in and to keep encrypted copies of our backups, and OVHcloud to run the system. The system does not send email yet. Staff may send you reminders through WhatsApp from their phones.
Where your data is stored. The system and its database run on a server of OVHcloud in Canada. Encrypted backups are kept on that server and in the club's Google Drive, and only two people of the club hold the keys that read them.
How long we keep it. We keep your data while your family is a member of the club. When you ask us to delete it, we remove your personal details, except the payment and audit records that the law requires us to keep.
Your choices. You may ask to see, correct or delete your data by writing to hellottclubs@gmail.com. Some payment and audit records may have to be kept for a legal period, as described above.
Security. Access requires Google sign-in. The app locks after 20 minutes without activity and needs your PIN to reopen. Every session ends after six hours. Changes to records are logged.
Changes. If this notice changes, we will show you the new version and ask again where needed.
The club's website
Where the club's website shows a film, the film comes from YouTube through its privacy-enhanced address, www.youtube-nocookie.com. When a page shows the film, YouTube receives your device's internet address, and when you play it, YouTube may store data in your browser. Google's privacy policy covers what YouTube does with it.
